Most software makes your team fit the system. overlap one fits the system to your team. The overlap is where the hours come back.

Why it’s called overlap

The problem

Pay changes are copied by hand into five places.

A manager emails HR. HR retypes the facts into BambooHR, the payroll form, a letter, the holiday sum and the payroll log, all before a monthly deadline.

A change of hours today by hand

  1. 1Manager emails HROften missing the days or the datewaits
  2. 2HR chases the detailsBack and forth by emailwaits
  3. 3Typed into BambooHR and the payroll formretyped
  4. 4Letter written from a templateretyped
  5. 5Holiday worked out on a calculatorretyped
  6. 6Added to the payroll logretyped

Typed five times and easy to miss a step

With overlap one HR checks and approves

  1. 1Manager emails HRJust as now
  2. 2overlap spots it and asks only what's missingminutes
  3. 3HR approves onceone click
  4. 4Form, letter, holiday and log are ready to checktyped once

On time and complete every step in one list

Incomplete requests

Changes arrive late or half finished.

A change that misses the deadline means back pay or a recovery next month.

Work done twice

The same facts, typed again and again.

Salary, hours and dates are retyped for every system and document.

Held in heads

The know-how sits with one or two people.

When they're away, the month waits.

Made for charities

Built for how charities pay people.

The parts of charity HR that make payroll harder are built in from the start.

Pay checked against the Real Living Wage

Anyone whose hourly rate falls below it is flagged, with what closing the gap would cost.

Below the Real Living Wage3 people
Cost to close the gap£1,840 a year

DBS and safeguarding, followed up

Update Service checks, and safeguarding training due or overdue.

Volunteers kept off payroll

Volunteers, students and contractors are left out of payroll checks.

Staff paid in other currencies

Overseas staff are paid in their own currency, shown on every figure.

Reports ready for trustees

A board report in Word in a couple of clicks, names left out by default.

How it works

One change, start to finish.

Built for staff data and payroll.

A person stands in front of every step that matters.

A private AI

The AI runs on a server of your own, in your office or the cloud. Staff data never goes to an AI company.

A person approves every change

Changes to BambooHR also need the HR approver's PIN.

Numbers by code, not AI

Pay, pro rata and holiday are worked out in code, with the working shown.

Bank details never pass through

They're taken out of emails, a common route for payroll fraud.

Your approvals stay in place

BambooHR's own approval chain is kept, and its settings are never changed.

Everything is logged

Sign-ins, approvals and every email sent, in an audit log on your computer.

FAQs

Questions people ask.

Does our staff data go to an AI company?

No. The AI model runs on a computer in your office. Staff data stays there, and the model is never trained on it.

Will it change BambooHR on its own?

Never. Every change waits for someone in HR to approve it, and changes written to BambooHR also need the HR approver's PIN. Payroll forms go through BambooHR's own approvals as they do now.

Do managers need to change how they email HR?

No. overlap spots payroll changes in everyday email from the managers you choose, like new hours, pay rises, starters and leavers, and asks HR about anything missing.

Does it replace our payroll software?

No. Tax, National Insurance, pensions and statutory pay stay in your payroll software. overlap one makes sure the changes reach it complete and on time.

Can the AI get pay or holiday figures wrong?

The AI never works out pay or holiday. Those are done in code, with the working shown, and HR checks them before anything is approved.

What do we need to run it?

BambooHR, and Microsoft 365 if you'd like it to work with Outlook and Teams.

Can the whole HR team use it?

Yes. Each person signs in with their own PIN, on the office computer or from their laptop on the office network. Every action is in the audit log.

What about bank detail changes?

They never pass through overlap one. Bank details are taken out of emails, and a change is only prepared after HR has phoned the employee on a number already on file.
